If you wish to download the GOCE User Toolbox (GUT), you will be asked to provide your name, organization, email address, and fields of interest during the registration process.  Since your identity can be ascertained from this data, then it is considered Personal Data. This notice sets out how your Personal Data will be handled, and your rights in relation to its handling.

Which Personal Data will be processed and why?

The Personal Data which will be collected and processed is your name, job title, organisation,  email address, operating systems, type of analysis and fields of interest. The purpose of this data collection is to help ESA route the toolbox development towards news achievements that are better tailored to its users, and to provide update notifications of GUT at a very low frequency.

The GOCE User Toolbox service is managed on behalf of ESA by Airbus Defence and Space Limited (Airbus UK), Serco S.p.a. (Serco Europe) and Deimos.  Under ESA’s contract with Airbus UK, Serco Europe and Deimos, name, job title, organisation,  email address, operating systems, type of analysis and fields of interest will be collected and processed by Airbus UK, Serco Europe, Deimos and Eversis Sp. Z.o. o. (Eversis) for the aforementioned purposes.  The servers of Airbus UK and Eversis are located in data centres managed by Airbus UK and Eversis in the UK and Poland. The servers of Serco Europe and Deimos are located in Italy.

If you choose to make a request to erase, rectify, complete or amend your details, your request will be manually processed by Serco S.p.a. (Serco Europe), which manages the ESA EO Helpdesk on behalf of ESA.  Accordingly, at the point you make any request, your email address will also be collected and processed on the servers of Serco Europe.  These servers are located in Italy.

Airbus UK, Serco Europe, Deimos and Eversis will not use the collected data for any purpose other than the ones previously mentioned and will not disclose your Personal Data to any other entity.

Airbus UK, Serco Europe, Deimos and Eversis do not consider your Personal Data as an asset for sale and will not sell your Personal Data to any third parties.

For how long will my Personal Data be kept?

If you do confirm the download of GUT, your Personal Data will be stored on the Airbus UK, Serco Europe, Deimos and Eversis servers until you request for the data to be deleted.

If you wish to delete your information you may do so at any time, by contacting ESA EO Help Desk.

Once you request the deletion, all traces of your Personal Data stored for the aforementioned purposes will be erased from the servers of Airbus UK, Eversis, Deimos and Serco Europe.

Your Rights

The Data Controller for the processing of your Personal Data is ESA.  ESA is an intergovernmental organisation established by its Convention which opened for signature in Paris on 30 May 1975.  The headquarters of ESA are located at 24 rue du Général Bertrand, CS 30798, 75345 Paris Cedex 07, France.

ESA manages the processing of your Personal Data in accordance with the provisions set out in ESA’s ‘Policy on Personal Data Protection’, which was adopted by the Director General of ESA on 5 February 2018 and became effective on 1 March 2018.  The Policy forms part of ESA’s Personal Data Protection Framework, which can be downloaded from ESA’s website www.esa.int or via the following link.

Under ESA’s Personal Data Protection Framework, you have the following rights, which you may exercise at any time:

  • The right at any time to make a reasonable request for access to your Personal Data which is held for the aforementioned purposes, provided that you demonstrate legitimate grounds for making the request. 

If you wish to make such a request, please submit it to ESA EO Help Desk, copy to dpo@esa.int.

  • The right to have your Personal Data erased, rectified, completed or amended.

If you do not want your Personal Data to be processed for the aforementioned purposes, please submit a request to ESA EO Help Desk, copy to dpo@esa.int, and your Personal Data will be erased from the system. 

If you wish to rectify, complete or amend your Personal Data, you will need to submit a request to ESA EO Help Desk, copy to dpo@esa.int, and explain the modifications that you wish to be made to your name, organisation, email, and fields of interest.

  • The right to lodge a complaint before the independent Supervisory Authority, if you can demonstrate or have serious reasons to believe that a Personal Data Protection Incident occurred in relation to your Personal Data, following a decision by ESA.

A Personal Data Protection Incident means any intentional or unintentional activity which violates the provisions set forth in ESA’s ‘Policy on Personal Data Protection’.

If you wish to lodge a complaint, the first step is for you to contact the ESA Data Protection Officer by sending an email to dpo@esa.int, setting out the nature of your complaint.  Your complaint will then be handled according to the Rules of Procedure of the Supervisory Authority that are set out in ESA’s Personal Data Protection Framework.
